This help article applies to users on Fresh Projects Version 2.
Which version of Fresh Projects am I using?
00:00: This help guide article will take you through how to use the pipeline automation.
00:05: Once you’ve set up your Pipeline Automations to fit your needs in the pipeline
00:10: settings,
00:10: you can start using it right away.
00:14: After set-up, the system will automatically check to make sure everything’s in line
00:18: with your configurations when you start moving items through the pipeline.
00:24: For example,
00:24: if you've set up certain fields or freeforms for the Engaged stage,
00:29: you will be asked to complete the field or freeform before the move can be
00:32: finalised.
00:35: Similarly, if you’ve set up approvals for the Quoted stage,
00:38: the system will hold the lead at that stage until it gets the necessary thumbs up.
00:43: Leads waiting for approval are flagged and won’t move forward until they’re approved,
00:48: so nothing can change until the right approval comes through.
00:52: You can keep track of these pending approvals in the Pipeline tab of the approvals
00:57: dashboard.
00:59: Here,
00:59: you can see who needs to approve the item, the current stage,
01:03: the name of the lead or opportunity, and when the approval was requested.
01:08: The only action you can take here is to approve the item,
01:11: there’s no option to reject it, to avoid unnecessary delays.
01:16: If there are any issues, it’s best to sort them out through direct communication.
01:21: Once an item is approved,
01:23: it can move on to the next stage in the pipeline.
01:27: When a status changes or an approval is needed, emails are sent out to the relevant
01:32: people.
01:33: These emails provide details about the change or approval request to keep everything
01:38: on track and the pipeline moving smoothly.
01:42: You have now learned how to manage pipeline automation within Fresh Projects.
