This help article applies to users on Fresh Projects Version 2. 
Which version of Fresh Projects am I using? 


00:00: Fresh Projects let's you consider and compare the finances across all projects to

00:04: assist in determining which projects are profitable,

00:07: and which may need further attention.

00:10: Lets take a look...

00:12: On the Insights Page, navigate to Project Profitability.

00:18: This will load your Project Profitability Dashboard.

00:22: In your default filters,

00:24: you can select whether projected values should be included.

00:28: To show Actuals only, make sure to tick "Excluded".

00:33: In your default filters,

00:34: you can select whether passthrough subprojects should be included.

00:39: To remove passthrough sub-projects, make sure

00:41: to tick "Excluded".

00:44: The profitability for each project is reflected in a horizontal bar graph.

00:49: Each bar represents a specific metric, while each bar's length is proportional and

00:54: relative to the others.

00:56: Let's take a look at an example for our project...

01:01: The value of the black bar and the grey bar combined, reflects the Total Fee.

01:07: The value of the black bar reflects the Invoiced amount.

01:12: The value of the grey bar reflects the remaining invoicing amount.

01:17: Ideally,

01:18: once the project is complete,

01:20: the grey bar should be totally covered by the black bar,

01:23: indicating that the client has been invoiced for 100% of the fee.

01:29: The value of the navy bar and the light blue bar combined,

01:32: reflects the total Forecasted Cost, ie: Internal budget.

01:38: The value of the navy bar reflects the Actual Cost amount.

01:43: The value of the light blue bar reflects the Cost Remaining amount.

01:49: Ideally, the navy blue bar should always stay within the confines of the light blue

01:53: bar,

01:54: indicating that the true project costs are still within the budgeted amount

01:59: At the top, we have a light green bar.

02:02: This reflects the Forecasted Profit,

02:05: and is calculated as the Fee minus the Actual Cost and Cost Remaining.

02:11: If the Actual Cost exceeds the budgeted cost at any point,

02:14: the light green bar will get smaller

02:16: - effectively lessening the profit.

02:20: The dark green bar reflects the job to date Profit,

02:23: or a Positive Cash Flow.

02:26: This is calculated as the Invoiced Amount minus the Actual Cost.

02:32: Looking at another project, we can see that when the Actual Costs exceed the Invoiced

02:36: amount, the red bar will reflect the job to date Loss,

02:40: or a negative cash flow.

02:44: To add any additional columns,

02:46: click on "Columns" on the top right.

02:49: Here you can toggle any additional columns on,

02:52: to add them to your dashboard.

02:56: In addition to the horizontal bar graphs,

02:58: all numerical values are displayed in a table format - allowing you full visibility

03:03: of all data in an easily accessible format

03:07: Your totals for each column are clearly displayed at the bottom of the page.

03:13: You can click on the double arrows to easily sort your projects from most profitable

03:17: to least profitable.

03:21: To add any filters to your report, click "Add Filter"

03:26: Here you can select from a wide variety of filters,

03:29: such as Project Managers,

03:30: numerical filters,

03:32: or your predefined tracking categories,

03:34: to view only data that meets your filter requirements.

03:39: This report can easily be downloaded in a spreadsheet,

03:42: by clicking on the downward-facing arrow in the top right corner of the screen.
