00:00: This help guide will show you how to create and manage freeform templates as a

00:07: Freeform templates are created to house a specific set of documents.

00:12: For example, a template can be used as an HR tool,

00:16: to store employee data like CV's,

00:18: driver's licenses,

00:20: etc.

00:21: Another can be created to contain all necessary documents on a project,

00:25: such as the fee proposal,

00:27: and any necessary certificates.

00:31: Additionally,

00:32: freeforms can be used as a grading criteria to determine the likelihood of an event occurring.

00:39: First, select "Settings" from the main menu.

00:43: Then,

00:44: select "Templates" from the drop down menu.

00:48: Select the "Freeforms" Tab.

00:51: Next,

00:52: click the "New Freeform template" button.

00:56: Click here to begin defining your new freeform template by inputting a Template

01:03: set the Form of Evaluation as the Sum of Scores.

01:07: Next, input the Minimum Acceptable Score.

01:11: This will enable you to establish a scoring system that can be utilized to evaluate

01:16: project aspects.

01:19: click "Add Item".

01:22: provide the name of the item,

01:24: specifically the criteria item you will be evaluating.

01:29: Set the Type to "Dropdown (Scored)"

01:33: Select what kind of Attachment you would like to upload to this freeform when you

01:40: A File Upload allows for a single document in any format to be uploaded to the item,

01:45: and a Revisioned File Upload allows for a sequence of documents to be uploaded that

01:49: can each be accessed as needed.

01:53: Alternatively, you are also able to link the relevant document to the item using a

01:57: File Link in cases where document sizes are large.

02:02: "Template File" allows you to upload a standard format for the item to provide

02:06: guidance on how the item should look.

02:10: For example,

02:11: a standard health and safety checklist used in site inspections.

02:17: Now,

02:17: click "Add Option" to establish the possible gradings you could award the item under

02:21: evaluation.

02:24: Then, add the respective scores and color assignments, if needed.

02:29: Lastly, click on the three dots and choose whether to Allocate Responsibility for

02:34: completing the items in the freeform to a specified resource.

02:39: Additionally,

02:40: you also have the option to Block invoicing until the freeform item is completed.

02:46: Click "Add Item" and repeat the previous steps for any additional criteria items that

02:50: may be required as part of the evaluation.

02:55: Lastly, select "Save freeform template" to confirm and save all your template details.

03:02: To edit your template after saving,

03:04: simply click the pencil icon located to the right of the template name.
