This help article applies to users on Fresh Projects Version 2. 
Which version of Fresh Projects am I using? 


00:00: Fresh Projects let's you consider and compare the finances across all projects to

00:04: assist in determining which projects are making the company money,

00:07: and which may need further attention.

00:10: Lets take a look.

00:13: Click on Insight in the Main Menu.

00:17: Click "Project Profitability" to view profitability metrics for your projects.

00:23: Then set any necessary Filters at the top of the screen.

00:28: To exclude projected values,

00:30: and show only actuals,

00:32: click on this icon.

00:35: To exclude passthrough sub-projects from the report, click on this icon.

00:40: Then click "Load" to load the filtered project data.

00:46: Further down on the screen, doughnut charts will reflect the financial situation of the relevant

00:51: projects.

00:53: In the top right corner of the screen there will be another doughnut chart.

00:58: This one, however, represents the average calculated from all the individual projects.

01:06: Focusing on a single doughnut chart, it first and foremost, comprises of the Fee in

01:11: the left hemisphere and the Cost in the right hemisphere.

01:15: The Fee is indicated by the grey segment and represents the total agreed upon fee

01:20: with the client.

01:23: The value of the black segment is reflected by the Invoiced amount.

01:28: As you begin invoicing on the project, a new black segment will appear,

01:32: beginning at 12 o'clock and moving in a counter-clockwise direction over the grey segment.

01:38: Ideally,

01:39: once the project is complete, the grey segment should be totally covered by the black

01:43: segment,

01:44: indicating that the client has been invoiced for 100% of the fee.

01:51: The Cost in the right hemisphere is indicated by the light blue and navy blue

01:55: segment and represents the total internal budget set for the project.

02:00: As time and expenses are captured to the project and then approved,

02:03: the navy blue segment will appear,

02:05: beginning at 12 o'clock and moving in a clockwise direction.

02:11: Ideally, the navy blue segment should always stay within the confines of the light

02:15: blue segment,

02:16: indicating that the true project costs are still within the budgeted amount.

02:21: The value of the navy blue segment is reflected by the Actual Cost amount.

02:27: The segment in the right hemisphere represents the Profit, and is equal to the Fee

02:32: minus the Actual Cost and Cost Remaining.

02:35: If the Actual Cost exceeds the budgeted cost at any point,

02:38: the navy blue segment will eat into the green segment, effectively lessening the

02:43: Profit.

02:45: If the Actual Cost increases to such a degree that it negates the Profit entirely,

02:50: the green segment will be replaced by a red segment in the left hemisphere,

02:54: indicating a Loss.

02:57: The thin green segment in the left hemisphere indicates a Positive Cash Flow and is

03:02: calculated as the difference between the amount Invoiced and Actual Cost.

03:07: If, at any point, the Actual Cost exceeds the amount Invoiced,

03:11: this will be reflected by a thin red segment in the right hemisphere.

03:17: The information shown here can be downloaded in a spreadsheet as a report by

03:21: clicking on the downward-facing arrow in the top right corner of the screen.
