00:00: The desktop importer is an app that runs on a Windows or Mac machine and uploads
00:04: emails from a local folder into your Fresh Memory company,
00:07: rather than from a linked Outlook mailbox.
00:11: It's useful for getting older,
00:13: folder-based email archives into Fresh Memory,
00:15: for example emails already saved down from a mail server,
00:19: or Mail Manager,
00:20: or an archive that was never sitting in a live inbox.
00:24: Each installation needs its own device token to authorise it,
00:28: so this guide covers finding the tool in the admin portal,
00:31: creating a token,
00:32: installing the app, and revoking access if a machine is ever retired.
00:38: From the Fresh Memory admin portal,
00:40: click "Company Setup" in the left hand navigation.
00:45: Click the arrow on the right hand side of the tab bar to scroll across to the
00:49: remaining tabs.
00:51: Select the "Desktop Importers" tab.
00:55: This is where the desktop importer app is downloaded, and where device tokens are
00:59: created and managed to authorise each install.
01:03: Click "+ New Device Token" on the right hand side of the page.
01:09: A token is required before the app can be installed anywhere,
01:12: since it's what proves a given machine is allowed to upload into this company.
01:18: Give the token a descriptive label so it's easy to identify which machine it
01:22: belongs to later,
01:23: for example "Simon's MacBook" or "Archive server".
01:28: A clear label makes it much easier to know which token to revoke if a device is ever
01:32: lost or retired.
01:35: Then,
01:36: select "Mint token" to generate it.
01:39: Each install needs its own token, so a new one should be minted for every machine
01:44: that needs to bring local email into Fresh Memory.
01:49: The token is shown once, with a note that it won't be displayed again.
01:54: If it's lost, the only option is to revoke it and mint a new one,
01:58: so it's worth copying it somewhere safe straight away.
02:03: Then, select "Copy" to copy the token to the clipboard.
02:08: This is the value that's pasted into the desktop app during installation to connect
02:12: it to Fresh Memory.
02:15: Select "Done" to finish.
02:19: The new token will then appear in the table on the dashboard,
02:22: showing its label,
02:23: when it was created and when it was last used.
02:27: Now,
02:28: select "Download for Mac (Apple Silicon)"
02:30: or "Download for Windows",
02:32: depending on the machine the token is for.
02:36: Installing the app and pasting in the token during setup lets it start uploading
02:40: emails from a chosen local folder into Fresh Memory.
02:45: If at any point you want to stop importing,
02:48: simply select the trash icon in the actions column next to the relevant token to
02:52: revoke it.
02:55: A tooltip confirms that revoking stops the importer using that token immediately.
03:01: Lastly, confirm by clicking "Revoke" in the pop-up that appears.
03:06: The importer using that token will start getting errors straight away and will need
03:10: a new token to resume,
03:12: so this should only be done once a machine is confirmed retired or no longer
03:16: trusted,
03:17: or in the case you lost your previous token.
