00:00: This article explains how to read the Filing Health dashboard within Fresh Memory.
00:06: It shows you how much of your firm's correspondence has found a home,
00:09: where email is collecting instead of moving through,
00:12: and how the filing is being done,
00:14: so you can see whether your project record is genuinely being kept up to date.
00:20: To start, select "Filing Health" in the left hand menu.
00:25: The "Email Flow" diagram follows your correspondence from "All email" through "Considered"
00:29: and on to "Filed", with "Awaiting filing",
00:32: "Pending review",
00:33: "Manually filed" and "No suggestion" showing where email has taken a different route
00:37: along the way.
00:39: The width of each band reflects the volume behind it,
00:42: so you can see at a glance whether email is moving through smoothly or collecting at
00:47: a particular point.
00:50: The "Unfiled" summary gives you the current volume along with an indicator showing
00:54: whether that number is moving.
00:57: Beneath it, "Filing rate" is the portion of email that has found a home,
01:01: and "Auto filed rate" is the portion that was filed by a rule rather than by someone
01:05: confirming it themselves.
01:08: You will see that you are able to toggle your view using timeframe options,
01:12: with "7 days",
01:14: "30 days",
01:15: "90 days",
01:16: "Quarter",
01:16: "Year" and "All time" to choose from.
01:20: "Company view" brings everything together at organisation level,
01:23: so the diagram and the figures reflect your firm as a whole.
01:28: "By person" breaks the same information down individual by individual,
01:32: which is where the leaderboard below becomes most useful.
01:37: Below the filing chart,
01:39: you will find the "Filing Leaderboard" section.
01:42: Each row represents an individual,
01:44: with the largest unfiled portions of emails displayed first.
01:49: You can also select a person to center the diagram above on them.
01:55: The "Unfiled" column is the volume of email that has not yet been filed for that
01:59: person,
02:00: and it is the figure that determines their status further along the row.
02:05: Some variation between people is expected,
02:08: since not everyone handles the same volume of project correspondence.
02:13: The "Auto", "Self" and "Peer" columns tell you how the filing was done.
02:18: "Auto" is filing done by a rule,
02:20: "Self" is filing the person confirmed themselves,
02:23: and "Peer" is filing a colleague did on their behalf through chain filing.
02:28: Read side by side, these say something about habits rather than just volume.
02:34: Someone with a high "Peer" figure may be relying on the rest of the team to file their
02:38: correspondence.
02:40: The "Status" column shows whether each person is keeping up,
02:44: based on the thresholds you have set for your firm.
02:48: If the flags do not feel right for the way your firm works, the thresholds behind
02:52: them can be adjusted.
02:55: You have now learned how to read the email flow, the filing summary and the
02:59: leaderboard within the Fresh Memory Admin portal.
