00:00: This article explains how to navigate the usage dashboard within Fresh Memory.
00:06: It shows you, person by person, who has signed in, who has linked their
00:10: mailbox, who is filing and who is searching,
00:13: so you can offer help to the few who need it rather than sending reminders to
00:16: everyone.
00:19: To start, select "Usage" in the left hand menu.
00:23: You will see that you are able to toggle your view using the timeframe options available
00:26: to you,
00:28: with "7 days",
00:29: "30 days" and "90 days" to choose from.
00:33: "Total Emails Synced" tells you how much correspondence Fresh Memory holds for your firm
00:38: in total,
00:39: and it covers all time,
00:40: so it stays the same whichever period you have selected.
00:45: "Chatbot Queries" sits alongside it and counts the questions your team has asked in
00:49: the period you chose.
00:52: Next,
00:53: you will find a "Chatbot Queries by Project" section,
00:56: which provides a breakdown of questions asked for specific projects.

01:02: you may encounter a "No project" row, indicating that the question was asked across all
01:07: your data,
01:08: rather than being limited to a single project.
01:12: Below that, you will see the "User Activity" section.
01:16: This view is displayed per individual user, with the columns on the right indicating
01:21: their actions during the selected time period.
01:25: You will notice the option to further refine your list of users via the "Active",
01:30: "Deactivated" and "All" filter options.
01:34: You can also search by name, email address or role.
01:38: This is handy when you are following up with one person in particular rather than
01:42: reviewing the whole team.
01:45: The "Last Active" column tells you when the user last did something in Fresh Memory.
01:52: The "Portal logins" column counts logins to the admin portal.
01:57: Most of your team will have very little reason to come here,
02:00: since almost everything they need sits inside Outlook,
02:03: so a low number against a standard user is entirely expected and not a sign of a
02:08: problem.
02:10: The "Taskpane Logins" column counts logins to the Fresh Memory panel inside Outlook,
02:15: which is where everyday filing actually happens.
02:19: Of the two login columns,
02:21: this is usually the more telling one,
02:23: because it reflects whether someone is working with Fresh Memory as part of their
02:27: normal day.
02:30: The "Inbox" column confirms whether the person has linked their mailbox,
02:34: which is the step that allows filing to begin.
02:37: Someone who has not linked a mailbox yet cannot file anything,
02:41: so during rollout this is normally the first thing worth following up on.
02:46: The "Emails Filed" column is the clearest sign that someone has moved from being set
02:51: up to actually using Fresh Memory.
02:54: A person who has signed in and linked their mailbox but has not filed anything
02:59: may just need a short walkthrough or a reminder of where the panel sits.
03:04: Filing and finding tend to build at different rates,
03:07: so it helps to see them side by side.
03:10: Someone filing well but never searching may simply not have discovered that side of the
03:15: product yet,
03:16: and pointing them towards it can change how useful they find Fresh Memory
03:20: day to day.
