00:00: This article explains how to invite users to Fresh Memory and set their access.
00:06: Every person who uses Fresh Memory needs their own user account and licence.
00:12: You choose their role, decide how they sign in,
00:15: and set which projects and overheads they can reach,
00:18: all from one dashboard.
00:21: The Users page is also where you manage people once they are set up,
00:25: including resetting passwords and unlinking mailboxes.
00:30: To start, in the admin portal,
00:32: select "Users".
00:35: Then, select "New User" in the top right corner of your dashboard.
00:40: First, select the employee this user account belongs to from the drop down list.
00:47: The names will populate from your imported employee
00:52: list. Leaving this set to "Auto-create from name / email" creates a new employee
00:56: record from the details you enter next.
00:59: Next, select the "Role" this person should have.
01:04: "User" is right for most of your team.
01:08: "Company Administrator" is for the people who configure and manage Fresh Memory.
01:14: "IT Manager" suits an outsourced or third party IT provider.
01:19: It is worth having more than one administrator,
01:22: so cover does not depend on one person being available.
01:27: Next, select how this person will sign in.
01:31: "Send invite link via email" emails them a link to set up their own password.
01:37: "Set a password now" lets you create one for them and share it through a secure
01:41: channel of your choosing.
01:44: Then,
01:45: set how many days the invitation link stays valid for.
01:50: The default is seven days.
01:53: Before creating the user,
01:55: select "Permissions" to set what this person will be able to see.
02:00: Under "Permission Groups",
02:01: select the group or groups this person should belong to.
02:06: They inherit access from every group they join,
02:09: so this is usually all you need to do.
02:12: If someone needs a specific project or overhead outside of their groups,
02:16: you can select it directly under "Project Access" or "Overhead Access".
02:22: When you are happy with the details and permissions,
02:25: select "Create & email invite".
02:28: An invite email is sent to the address you entered, and the link is copied to your
02:32: clipboard as well,
02:34: so you can send it another way if you prefer.
02:37: Back on the Users page,
02:39: each person has a set of actions on their row.
02:43: The pencil icon lets you edit their name.
02:47: The next shield icon lets you change the role assigned for that user.
02:52: The chain icon unlinks their Outlook mailbox from Fresh Memory.
02:57: There is no self service password reset from the login screen,
03:01: so the key icon is where you reset a password on someone's behalf.
03:07: Alternatively,
03:08: you can send them a set-password link by email,
03:11: so they can set up their own password.
