00:00: This article explains how to import historical email into Fresh Memory from a linked

00:05: Microsoft 365 mailbox.

00:09: Importing is optional.

00:11: Many firms start from their onboarding and build the record going forward.

00:16: Where your old email is already filed by project,

00:20: importing brings that structure with it and gives your team improved filing

00:23: suggestions from day one.

00:26: You can also upload individual .eml or .msg files if you have email exported from

00:32: elsewhere.

00:34: To start, in the admin portal,

00:36: select "Imports & Sync".

00:39: If you have email exported as files,

00:42: select "Import Emails" in the top right corner.

00:46: Then,

00:46: select "Choose Files" to pick the .eml or .msg files you want to bring in.

00:52: These can be exported from Outlook,

00:55: Thunderbird, or any MIME compatible client.

00:59: The Alternate method for importing mail is through your "Linked MS 365 Mailboxes",

01:04: here you will see every mailbox connected to Fresh Memory,

01:08: along with when it was last synced.

01:11: Only linked mailboxes can be imported from, and each person links their own,

01:16: so this list fills up as your team onboards.

01:20: Next to the mailbox you want to import from,

01:23: select "Import" to open the Import Wizard.

01:27: The wizard opens on "Select Folders",

01:29: showing every folder in that mailbox with the number of emails in each.

01:35: Inbox and Sent Items are pre-selected.

01:39: Select any other folders you want included, and leave out anything that does not

01:43: belong in your project record,

01:45: such as Junk Email or Deleted Items.

01:49: Once you are happy with your folder selection,

01:51: select "Next".

01:54: "Import all emails" is selected by default,

01:57: which brings in everything.

02:00: If you are happy with all emails,

02:02: select "Next".

02:04: If you would rather limit how far back the import reaches,

02:07: you can restrict it to a specific date range here.

02:12: After selecting your date range,

02:14: proceed by selecting "Next".

02:17: The final step shows the mailbox, the folders you chose and the date range,

02:22: so you can check everything before committing.

02:25: When you are happy,

02:27: select "Start Import".

02:30: The import now runs in the background under "Import Jobs",

02:33: so you do not need to stay on this page.

02:37: The line shows how many emails have been fetched and inserted,

02:40: how many were duplicates already imported by a colleague,

02:44: and how many errors occurred.

02:47: When the status changes to "completed", the import is done.

02:52: Emails then begin appearing under "Uploaded Emails",

02:55: and Fresh Memory starts suggesting projects and overheads for them.

03:00: You have now successfully learned how to import historical emails into Fresh Memory.
