00:00: This article explains how to sharpen filing suggestions for a project using aliases,
00:05: external code mapping and vendor domains.
00:09: Aliases are the alternate names your team actually uses for a project, matched
00:14: equivalently to its formal name.
00:17: Vendor domains are the external parties whose email nearly always belongs to a
00:22: project,
00:22: such as a consultant or a client.
00:26: Both are optional,
00:27: but they are the quickest way to improve suggestions early on,
00:31: before there is much filing history to learn from.
00:35: To start, in the admin portal,
00:37: select "Company Setup".
00:40: Then, select "Projects" to see your project list.
00:45: Find the project you want to work on, then select the profile icon on its row.
00:51: This opens the project's profile, where its aliases,
00:54: domains and external codes are held.
00:58: Under "Aliases", enter an alternate name your team uses for this project and press
01:03: Enter.
01:05: If everyone calls Avalon Cultural Centre "ACC",
01:08: add that here,
01:09: and mentions of ACC will raise the confidence of that match.
01:14: You can add as many aliases as you need.
01:18: Next, under "Vendor domains", enter the domain of an external party whose email usually
01:24: belongs to this project.
01:27: Email arriving from that domain scores higher on participant match for this project,
01:32: regardless of which individual sent it.
01:36: Then, under "External code map",
01:38: you can add the reference code an external party uses for this project.
01:44: Consultants often run their own numbering.
01:48: If your engineer refers to this job as BBH-01, adding that code helps Fresh Memory recognise
01:53: their email as belonging to your project.
01:57: Further down, under "Manual folder aliases",
02:00: you can add the name of an Outlook folder you know belongs to this project.
02:06: Below that, the profile shows what Fresh Memory has worked out for itself,
02:10: including learned folder aliases and the project's lexical profile.
02:16: These are built from your confirmed filings,
02:18: so they fill in as your team files,
02:20: and are not edited from here.
02:23: Once you have added everything you need,
02:25: select "Reseed".
02:28: This rebuilds the profile from your confirmed email history and applies your
02:32: changes.
02:34: Anything you have previously dismissed stays dismissed.
02:39: Because your projects are synced to Fresh Projects,
02:42: reseeding saves your changes,
02:44: so the "Save" button is no longer active.
02:48: Select "Close" to exit the profile.
02:52: You have now successfully configured a project's vendor domains,
02:55: external code mappings and aliases in Fresh Memory.
