00:00: This article explains how to manage permission groups within the Fresh Memory Admin

00:06: Permission groups control which projects and overheads each person can see in Fresh
00:11: Memory.
00:13: A group is given access to a set of projects and overheads,
00:16: and you then add people to that group.
00:20: This is how you keep sensitive or NDA protected work restricted to the right people,
00:25: while everyone else gets on with their own projects.
00:29: Access covers both filing and searching,
00:32: so if someone can file to a project they can also search it.
00:37: In the admin portal,
00:38: select "Company Setup".
00:41: Then,
00:42: select "Permission Groups".
00:45: Select a group name from the Groups list,
00:48: for example Management or Staff.
00:51: The panel on the right will then show what that group has access to.
00:56: Next,
00:57: you can expand the "Employees" section to see everyone in your firm.
01:02: You can then go ahead and select the people who should belong to this group.
01:07: The counter next to the "Employees" heading,
01:10: for example "1/4",
01:11: shows how many of your employees are currently selected,
01:15: so you can see at a glance whether anyone has been missed.
01:19: Next, expand the "Projects" section and select the projects this group should have
01:23: access to.
01:26: There is a search box if your project list is long,
01:28: and you can use the tick box in the header row to select all.
01:33: Anyone in this group will then be able to file email to these projects as well as
01:37: search what has been filed to them.
01:41: Next, expand the "Overheads" section and select the overheads your group will have
01:45: access to.
01:48: These are your non-project folders,
01:50: such as General Admin, IT and Software,
01:52: or Marketing and BD.
01:55: It is worth thinking about these separately from projects,
01:58: since some overheads,
01:59: HR for example,
02:01: are usually meant for a smaller group of people.
02:05: To set up a new group,
02:06: select "New Group" in the top right corner of your dashboard.
02:11: Enter a name your team will recognise,
02:13: for example Finance,
02:15: Directors or a specific project team.
02:19: A short description is optional,
02:21: but it helps whoever looks after this later understand what the group is for.
02:27: After adding the details,
02:28: select "Save".
02:31: Once saved, your new group appears in the Groups list and you can add employees,
02:35: projects and overheads to it using the steps above.
02:40: You have now successfully learned how to manage your permission groups.
