00:00: If you already keep folders for your projects in Outlook,
00:03: Fresh Memory can file everything in them for you.
00:07: Link a folder to a project once,
00:09: and both the emails already in it and anything you move in later are filed
00:13: automatically.
00:15: It means you can select a group of emails,
00:18: drag them into the folder,
00:19: and they all file at once.
00:23: You can set this up yourself from the Fresh Memory panel in Outlook,
00:26: and it applies to your own mailbox only.
00:30: Many people already keep a folder for each project in Outlook.
00:35: Fresh Memory works alongside that,
00:37: so you do not need to change how you organise your mail.
00:41: In the Fresh Memory panel,
00:43: select the three dots at the top of your Fresh Memory panel,
00:46: then choose Settings.
00:49: Under Auto-file rules,
00:51: select "Add rule".
00:53: A rule connects one Outlook folder to a project or overhead.
00:59: Pick the folder you want from the list,
01:00: expanding your mailbox if you need to find it.
01:05: The name shown under Selected confirms which folder you have chosen.
01:10: Next, choose your overhead or project.
01:14: Start typing in the Projects and overheads box and select the one you want.
01:20: You can choose more than one if the folder relates to several.
01:24: Then, tick "Also apply to subfolders".
01:29: It is worth doing even if you have none yet,
01:31: so anything you create inside that folder later is covered without setting up
01:35: another rule.
01:37: Lastly,
01:38: select "Add rule" to save it.
01:42: Your rule will now appear in the list,
01:44: showing the folder,
01:45: the project and whether subfolders are included.
01:49: Anything already in the folder is filed in the background,
01:52: so give it a little time on a folder with a lot of mail.
01:57: From now on,
01:58: dragging a group of emails into that folder files them all to the project.
02:04: Pause stops a rule without losing your settings,
02:06: and Delete removes it altogether.
02:10: Filing that has already happened is not affected either way.
