Once you’ve set up Pipeline Automation to fit your needs, you can start using it right away.
Mandatory Information & Freeforms
Once you’ve got everything set up, the system will automatically check to make sure everything’s in line with your configurations. For example, if you've set up freeforms for the Engaged stage, you will be asked to complete the freeform before the move can be finalised.
Approvals
Similarly, if you’ve set up approvals for the Engaged stage, the system will hold the lead at that stage until it gets the necessary thumbs up. Leads waiting for approval are flagged and won’t move forward until they’re approved, so nothing can change until the right approval comes through.
You can keep track of these pending approvals in the Pipeline tab, where you’ll see who needs to approve the item, the current stage, the name of the lead or opportunity, and when the approval was requested. The only action you can take here is to approve the item - there’s no option to reject it, to avoid unnecessary delays. If there are any issues, it’s best to sort them out through direct communication. Once an item is approved, it can move on to the next stage in the pipeline.
Notifications
When a status changes or an approval is needed, emails are sent out to the relevant people. These emails provide details about the change or approval request to keep everything on track and the pipeline moving smoothly.
