The Pipeline Automation is designed to streamline your workflow and boost efficiency. With this powerful tool, you can automate repetitive tasks, ensure consistent data processing and reduce manual errors. Seamlessly integrate with your existing systems to create a dynamic and adaptive pipeline that evolves with your company needs.
This feature is located under the settings cog.
Approvals
Within the Approvals tab, you will see the columns labelled according to the naming convention set up in your Pipeline
At each stage of the pipeline, you can designate Primary and Secondary Approvers to decide whether the lead, opportunity or project can advance. Approvers can be either specific staff members or any of the roles linked to the project, such as the Project Owner or Project Manager.
In the case where both a Primary and a Secondary Approver have been set up, both individuals will need to approve the new status.
Notifications
In the Notifications tab, you have the flexibility to select who will receive alerts at various stages of the pipeline. This allows you to tailor notifications to the right individuals, ensuring they stay informed and engaged throughout the process.
You can easily search for and add as many recipients as you need, whether they're project managers, team members, or even external contacts. There's no limit on how many people you can include.
Additionally, you can send notifications to any email address, even if it's not linked to the system—perfect for keeping external stakeholders, like an accountant, in the loop when a project hits a certain stage.
You can also set up when these notifications go out, like when a project reaches a specific point in the pipeline.
Mandatory Information
In the Mandatory Information tab, you can define which details are specifically required at different stages of the pipeline.
For example, you might require the client's name by the time a lead reaches the Engaged stage, while billing details may only become necessary at a later stage, such as Won.
If your company uses tracking categories, you can enforce specific ones at different points in the pipeline. For instance, you might require the assignment of a particular category when a lead reaches a specific stage.
Additionally, you can enforce the completion of specific metadata fields, such as Meta Bool, Meta String, and Meta Data, ensuring all necessary information is captured as the project progresses.
Freeforms
In the Freeforms tab, you can specify when certain freeforms need to be completed within the pipeline. For example, you might need the Commercial freeform filled out when a lead hits a certain stage.
You can also customize which specific fields within the freeform are required at each stage. For instance, at the Engaged stage, you might only need the Contract field completed, but as the lead progresses, more fields may become necessary. This feature ensures that all the essential data is captured before a lead can move forward in the pipeline.
