Freeform templates are created to house a specific set of documents. For example, a template can be used as an HR tool to store employee data like CV's, driver's licenses etc. and another can be created to contain all necessary documents on a project, such as the fee proposal and any necessary certificates. Additionally, freeforms can be used as a grading criteria to determine the likelihood of an event occurring. 


Let's consider how to set up a freeform template for document storage.


  1. To create a new custom checklist click on the settings cog and select Templates from the drop-down list. 


  2. Open the Freeform Templates tab and click on the + New Freeform template button to open the pop-up window.


  3. Enter a Template Name and set the Form of Evaluation as None. 
  4. Next, click +Item.

  5. Add the name of item, i.e. the document you want to archive, and set the Type to a Tickbox.

  6. Select what kind of Attachment you would like to upload to this freeform when you perform the evaluation, if any. A File Upload allows for a single document in any format to be uploaded to the item, and a Revisioned File Upload allows for a sequence of documents to be uploaded that can each be accessed as needed. Alternatively, you are also able to link the relevant document to the item using a File Link in cases where document sizes are large.

  7. Template File allows you to upload a standard format for the item to provide guidance on how the item should look. For example, a standard health and safety checklist used in site inspections

  8. Lastly, click on the three dots and choose whether to Allocate Responsibility for completing the items in the freeform to a specified resource. Additionally, you also have the options to Block invoicing until the freeform item is completed as well as to specify whether attachments are Optional.

  9. Click +Item and repeat the previous steps for any additional documents items that may be required as part of the project.
  10. The final step is to Save the freeform template.
