The naming of the project, its stages and the structuring thereof can be managed by by the Project Manager to ensure that the setup of the project suits the internal as well as external processes. This is best done in the beginning of the project before any costs have been assigned to it.
The Project Structure of the project can be edited as follows:
- Open the project in question and click on the three dots, selecting Project Structure from the drop-down list.
- Once here, you can make any necessary changes to the Project Name and Project Code as well as enter any additional Notes and a Project Description.
- Sub Project Groups allow you to categorise sub projects into different classes. This feature can be Enabled or Disabled, depending on the project structure required. When enabled, you will be asked to enter the names of the required groups.
- When Groups are enabled, it will be mandatory to assign each stage to the relevant group. You can do this by clicking Select Group and then choosing the relevant option from the drop-down list.
- Under the Breakdown, you will be able to make any changes to the names of the stages if necessary.
- The degree of detail of the stage can be altered by clicking the numbers beneath Levels. Please note that the addition of any Phases, Work Packages and/or Components is only for internal purposes, and only the description at Level 0 will be visible on the client invoice.
- Any notes for that stage can be added in the text-entry box beneath Description.
- To hide a stage from employees when capturing their Timesheets or Expenses, click on the eye icon.
- To mark a stage as an External Pass Through Cost, click on the trolley icon.
- To make notes mandatory for this stage when staff members capture it in their timesheets, click on the speech bubble icon.
- To delete a stage, click on the bin icon.
- To add additional stages to the project, scroll to the bottom of the page, click +sub project, assign it to a group and name it.
- Remember to Save any changes before exiting.
